Whether you are a guest attending a conference or staying at Hotel Laurier, we want to ensure that you have a pleasant and safe stay with us. The following information and policies apply to any guests of Laurier’s accommodations and venues.
Check-in time is 2 p.m. and check-out is 11 a.m. Check-in for all buildings is at the Hotel Laurier office located in the King Street Residence (200 King Street North). The office is open daily from 8 a.m. to 10 p.m.
For reservations made as part of a group booking (and have a group code), a one-night stay will be charged to your credit card at the time of booking. For individual reservations, full payment will be requested approximately 24 hours in advance of check-in. Forms of payment accepted at check-in include Debit, Visa, Mastercard, and American Express.
The valid credit card used for a Hotel Laurier reservation deposit or full payment, and photo identification must be presented at check-in. Debit cards are only accepted for in person payments at Laurier. Published rates do not include sales tax or other fees. Rates are subject to change based on the number of guests, accommodation type or number of room nights.
For conference groups, a deposit is required when a booking is confirmed.
Reservations can be amended by calling or emailing Hotel Laurier. If a Hotel Laurier reservation is cancelled 24 hours in advance of the scheduled check-in, payments will be fully refunded. If the reservation is cancelled less than 24 hours in advance of the scheduled check-in, no advance payments will be refunded. If a reservation is cancelled with less than 24 hours' notice, a charge equivalent to the first night may be applied.
The names of all guests staying on campus must be provided and room(s) may not be revised without authorization from Laurier.
Laurier reserves the right to terminate a reservation if a guest engages in behaviour that causes damages, or disturbance or nuisance to other guests. Guests are responsible for any damage or loss caused to Laurier property.
If keys, entrance cards or fobs are lost or damaged, locks will be changed and the associated costs of between $100 and $350 will be charged to the guest.
Under no circumstances does Laurier assume any obligation or liability for lost, stolen or damaged goods or personal property of guests.

Wilfrid Laurier University prohibits the smoking of tobacco and cannabis by all methods, and prohibits vaping of all substances in any form, including the use of vaporizer and inhalant devices such as vape pens and e-cigarettes in all buildings and grounds owned, leased, or operated by Laurier. There is a minimum cleaning charge of $150 if smoking is detected.
Guests are subject to provincial liquor regulations.
With the exception of service animals, as is defined in the relevant legislation, pets are not permitted in university buildings/campus.
For guests staying in residence, parking permits are provided at check-in, and they must be displayed at all times. Failure to clearly display the permit, and/or park in designated parking areas, may result in a ticket and/or tow by Laurier or the city. Laurier is not responsible for parking tickets received by guests.
Youth groups (under the age of 18) staying in residence require adult chaperones at a ratio of 1:10.
Monthly room and/or apartment inspections for guests staying over 30 nights will be completed by Hotel Laurier staff. Inspections allow staff to answer questions and identify damages or policy violations. Other university staff may need to enter units to complete assessments, repair damages, and complete seasonal maintenance.
All bedrooms are supplied with a pillow, blanket, two sheets, two towels, soap, and a cup. Card-operated laundry facilities are available in most residences. Daily housekeeping is not provided. Complimentary Wi-Fi is available throughout campus. Microwaves and kitchen sets can be rented through the Hotel Laurier office.
Conference groups are required to carry a minimum $5 million liability insurance policy. Group insurance can also be purchased from Wilfrid Laurier University.
